Trama analyzes the status of all your opportunities every day and tells each sales rep what they need to do.

How it works

Each morning (around 9:00, the business’s local time), the system reviews all active opportunities and generates a single message per sales rep with the day’s pending actions. If a sales rep has nothing pending, they receive no message.

Types of follow-ups

Unattended leads:
  • You have a new lead that nobody has contacted for more than 4 hours (urgent)
  • You have a new lead that nobody has contacted for more than 24 hours (critical)
Contact without progress:
  • A customer responded to you and you haven’t replied in the last 24 hours
  • You’ve been in contact for more than 5 days without sending a quote
Post-quote (3-touch protocol):
  • Touch 1 (48 hours): “You quoted Lucy 2 days ago and she hasn’t responded. It’s a good time to remind her and offer to adjust something.”
  • Touch 2 (7 days): “Lucy hasn’t responded to your quote for 7 days. You can give her a reason to decide now: rising prices, decreasing availability.”
  • Touch 3 (15 days): “Last attempt with Lucy. Ask if anything has changed and offer to re-quote. If no response, it closes.”
After the third touch: If there’s no response, the opportunity automatically moves to LOST.

How you receive follow-ups

  • Daily email: A grouped summary with all the day’s actions, organized by priority.
  • Asking the agent: You can ask the Trama agent “What do I have pending for today?” and it responds with the details.

Configurable timings

The timing for each touch is configurable per business. The default values (2 days, 7 days, 15 days) are based on analysis of real conversations in the industry, but each business can adjust them to their operation.
